How to Use the Screens 

Here we discuss how the menus and screens of the Administrator Utility
are related to one another and how to move about among them.

Menus and Screens 

The Administrator Utility is made up of three kinds of screens:

   *   Menus, from which you choose what to do next
   *   Data entry screens, at which you type in data
   *   Display screens, where you can examine information

The Administrator Utility tasks are accomplished at data entry and
display screens.

In general, stepping through a sequence of menus takes you to the data
entry or display screens.  In some cases, additional data entry or
display screens automatically appear when needed.  In other cases, you
can display additional screens by choosing a function key.

Many screens can also be reached directly, without stepping through
menus, as discussed below.

The Administrator Utility Screen Map shows all the screens.  Keep a copy
of this Screen Map handy to help you visualize how the screens are
related.

Menu Path 

The menus and screens are organized hierarchically in a tree structure
that represents levels of operation.  This structure is apparent in the
Screen Map and in Figure 2-1.

Successful passage through the Entry screen (level 0) brings you to the
Main Menu (level 1).  From the Main Menu, you can descend another level
(level 2) to change your environment configuration or to perform
operations using the Configuration screens, the Synchronization screens,
the System Status screens, or the Report screens.

   *   From the Configuration Main Menu, you can descend yet another
       level (level 3) to reach six different menus (for defining remote
       systems, data sources, access groups, users, tables, and
       security).

       The Menu Path Diagram represents the path through level 3.

       From these menus, you can descend one more level (level 4) to
       screens that allow you to add, change, delete, or examine various
       entries in the data dictionary.  For some configuration functions,
       level 4 incorporates sub-levels of menus or screens.

       The Screen Map includes all screens through level 4, including all
       sub-levels.

   *   From the System Status Main Menu, you can choose one of several
       operations to perform on the current status of Access Server.

   *   From the Report Main screen, you can generate reports on Access
       Server configuration and system status.

   *   From the Synchronization Main screen, you can choose one of
       several ways to check that the table definitions in the data
       dictionary match the current characteristics of the table sources.

   *   From the Environment Configuration menu, you can choose to control
       password visibility, configure maximum table size, configure the
       maximum number of active users, and configure an editor for adding
       and changing view tables.

Menu Path Icons 

Chapters 3 through 10 describe each Administrator Utility task in detail.
These chapters also include menu path icons:

For each task, a menu path icon in the margin shows you where the menu or
screen being discussed fits in the hierarchy.

Use the icons to remind yourself how to:

   *   Get to the menu or screen using the menu path
   *   Get back to a particular higher-level menu along that branch
   *   Return to the next higher-level menu in order to go directly to
       another screen

How to Go to Any Screen 

How to Go to Any Screen.   

There are two ways to navigate through the screens:  stepping through the
menu path, or going directly to a screen by typing its name in a Go to
screen field.

Using the Menu Path.   

When you are first learning the product, use function labels to go up or
down one level at a time.

In general, the lower-numbered function keys (f1,f2, and so on) take you
down one level, while f8 always takes you up one level.

Going Directly to a Screen.   

When you become more familiar with the screens and how they relate to one
another, use the Go to screen field to jump directly to a particular
screen.  In general, you can go directly to all menus and to the first
level of data entry or display screens for each task.

A Go to screen field appears in the lower right corner of every menu:

                     Go to screen                     

Type the screen name into the Go to screen field on any menu and press
Enter.

The screen name is a short version of the screen title.  It appears in
the upper right corner of screens you can reach this way.  For a complete
list of screen names, type ?  in any Go to screen field and press Enter;
the List Screen Names screen appears.  You can also look at the Screen
Map in which each screen's short name appears in parentheses within each
box.

In Chapters 2 through 10, each screen's short name appears in parentheses
following its screen title, to remind you how to go to the screen
directly.

Some screens cannot be reached directly from a menu:

   *   Some tasks include additional fields or new screens that appear
       automatically only in response to the information you enter in a
       previous screen.

   *   Other tasks include more fields or other screens that you can
       reach by request from a particular screen.  For example, for
       screens that list information spanning more than one page, you can
       use the Page field and  Go To Page f6 to avoid having to move
       sequentially through the pages.

If you are the primary DBA, all menus and screens are accessible to you.
If you are a secondary DBA, accessibility is limited to those menus and
screens used with data sources and tables that you control and with
configuring access groups and users..

Function Label Definitions 

Function Label Definitions.   

Many of the function labels available at the Administrator Utility menus
and screens perform the same function wherever they appear in the
utility.  These function labels are defined here.  Function labels not
listed below are unique to a particular task.

On-Screen Help.   

The f7 function label is reserved for on-screen help.

 Help  f7                Gives you a brief explanation of the choices or possibilities
                         available at the screen from which you requested help.  Where
                         there is more information than will fit on one screen display,
                         function labels allow you to display next or previous help.

Leaving a Menu or Screen.   

The f8 function label is reserved for leaving any menu or screen.
Depending on your level in the screen hierarchy, this label is worded in
one of the following ways:

 Done  f8                Returns you from a task level screen to the next higher- level
                         screen or menu.

 Exit Help  f8           Returns you to the screen from which you first requested help.

 Cancel Change  f8       Returns you to a previous group of fields without performing
                         the function named; for example, Change or Add.

 ADMIN Main  f8          Returns you to the Main Menu from any level 2 menu, such as
                         the Configuration Main Menu or the Report Main screen.

Next and Previous.   

Where there is more information than fits on one screen display, function
labels f3 and f2 allow you to display the next or previous group of
information or fields.  Depending on what screen you are at, the function
label will refer to the next or previous Help, Page, Fields, Dataset, and
so on.  For example:

 Next Page  f3           Displays the next page in a multi-page listing.

 Previous Page  f2       Displays the previous page in a multi-page listing.

At screens that use a "page" format, as in the example above, you can
also use f6 to go directly to a particular page, rather than stepping
through all pages in sequence.

 Go To Page  f6          Displays the page you specify.

Printing.   

At screens where data dictionary definitions can be examined, you can
print a copy of the information by using f1.

 Print  f1               Prints a complete copy of the particular definition (including
                         information that may appear on pages not currently displayed)
                         to the file ADMLIST.

The file ADMLIST prints to the default or other specified printer.  (For
information on how to change the default printer, see "Redirecting
Printed Output," under "Ground Rules," later in this chapter.)

When You Need Help 

When you need help with a menu or screen, there are two places you can
go:

   *   On-line help is available from most screens, including all data
       entry and display screens, by selecting  Help  f7.

   *   This manual provides detailed reference material for each menu and
       screen in the utility.  So if you need more information than what
       you find on a help screen, turn to the explanations in Chapters 3
       through 10.

When you need clarification of an error message, look it up in the
Information Access Server:  Error Messages manual.  Messages are listed
in numeric order.  (Look for the number on-screen to the right of the
message.)

If you look in all these places but need further help, contact your
System Manager, who may need to call your Hewlett-Packard support
representative.  (For information-gathering instructions, see "How to Get
Help" in "About This Manual," just before Chapter 1.)

How to Exit 

You can leave the Administrator Utility in several ways:

   *   Go to any menu and type E or EXIT (uppercase or lowercase) in the
       Go to screen field.

       If you are at a data entry or display screen, choose  Done  f8 one
       or more times to find your way back to the first available menu.

   *   Go to the Main Menu and choose  Exit ADMIN f8.

   *   At the Entry screen, choose  Exit ADMIN f8.
