Printing Views, Appointments, and To Do Lists

You can print any of the four Calendar views, plus appointment and To Do lists.

To Print Current Day, Week, Month, or Year Views

  1. Display the Calendar view you want to print.

  2. Choose Print Current View from the File menu.

Calendar prints the view using the default print options. To change the print options, see “To Print with Specific Options”.

To Print an Appointment or To Do List

  1. Display the Calendar view containing the day for which you want to print an appointment or To Do list.

  2. Select that day.

  3. Choose Print... from the File menu.

    The Print dialog box is displayed.

  4. Choose Appointment List or To Do List from the Report Type menu.

  5. Click Print.

Calendar prints the appointment or To Do list using the default print options. To change the print options, see “To Print with Specific Options”.

To Print with Specific Options

  1. Choose Print... from the File menu.

    • To select a different printer, type the new printer name in the Printer Name field.

    • To output multiple copies, type the number of copies in the Copies field.

    • To print to a file, click the Print to File checkbox and type the path and filename for the file.

  2. Choose the view or list you want to print from the Report Type menu. You can choose from Day View, Week View, Month View, Year View, Appointment List, or To Do List.

    If necessary, set the correct time range by changing the From and To fields.

  3. To set additional options, click the More... button. The Calendar Options dialog box appears, showing the current Printer Settings.

    • To set the margins for the printed output, type the desired values in the Top, Left, Right, and Bottom fields. You can specify margin values in inches (in), centimeters (cm), or pixels (pi). The default is inches (in). The default value for all margins is one inch.

      Your margin settings remain in effect until you change them. They are used when you print with default options.

    • To include headers and/or footers on the printed output, choose the type of information you want for Top Left, Bottom Left, Top Right, and/or Bottom Right. For each position, you can select:

      • Date, to display the current date.

      • User ID, to display your user Id.

      • Page Number, to display page numbers.

      • Report Type, to display the type of report.

      • None, to display nothing. This is the initial default for all positions.

      Your header and footer settings remain in effect until you change them. They are used when you print with default options.

    • To set the privacy level for printed appointments, select one of the following for Appointments:

      • Print Time and Text

      • Print Time Only

      • Print Nothing

      Your appointments privacy level remains in effect until you change it. It is used when you print with default options.

    When finished changing the Printer Settings, click OK to establish your choices as the new defaults and return to the Print dialog box. Apply sets the new defaults, but remains in this dialog box. Reset restores the options to their previous settings. Cancel cancels any changes and returns you to the Print dialog box.

  4. To set printer-specific options, click the Setup... button on the Print dialog box. The Print Setup window appears. From this window, you can access both Printer and Job options.

    The Printer options dialog box lets you control such items as page size (legal, letter, etc.), one- or two-sided printing, and which printer tray to use.

    NOTE: While you can change the page orientation, the orientation actually used (portrait or landscape) is determined by the selected report type.

    The Job options dialog box lets you indicate whether you want an email notification sent when your print job completes and what text (if any) you want to appear on the banner page. You can also specify print command options in the Print Command Options field.

    When finished with the Print Setup window, click OK to set your changes and return to the Print dialog box.

  5. To send the selected view or list to the printer from the Print dialog box, click Print.

  6. Click Close to close the Print dialog box.
